Property management software and your CPA

Owner statements are not a tax return

Owner statements show cash movement and activity summaries. They are not a filed return.

The owner draw is usually not taxable rental income by itself. Collections, management fees, reserve transfers, and capital items sit between the deposit and the tax forms. A CPA reconciles those pieces, then reports on Schedule E or Form 8825 for the right entity.

You usually need a CPA who can work from the owner statements and exports your software (or your manager) already produces. Formal integrations are optional. Accurate translation into Schedule E or Form 8825, plus entity and planning work, is the core job. lavicpa works with landlords and investors this way across common PM platforms.

Schedule E, Form 8825, and multi-entity owners

Software portfolios often do not match tax entities one-for-one.

  • Individual owners often use Schedule E.
  • Partnerships and many multi-member LLCs use Form 8825 and K-1s.
  • If one login holds properties for several LLCs, label the map before tax season.

The CPA job is to align the export with the entity that actually owns the asset. That step prevents mixed Schedule E / K-1 errors later. High-net-worth landlords with several LLCs, K-1s, and multi-state doors should bring the entity chart to the first intro — not just one PDF.

Year-round planning uses the same owner statements earlier in the year — for sale timing, depreciation, estimated taxes, and entity hygiene — instead of waiting until March when options are thinner.

Do I need a CPA who “integrates” with my property management software?

Usually no. You need accurate work from owner statements and exports. Integrations are optional. Translation into Schedule E or Form 8825, plus entity and planning work, is the job.

Can you prepare Schedule E from owner statements across different PM platforms?

Yes. AppFolio, Yardi Breeze, Buildium, DoorLoop, Rent Manager, TenantCloud, and similar systems all produce owner-facing reports. The CPA still reconciles fees, reserves, and capital items for the correct entity.

What do you need from me each year?

Owner-facing income and expense reports by property or entity, mortgage Form 1098s, property tax bills, prior returns, and a clear entity map.

I have multiple LLCs and K-1s. Does the hub still apply?

Yes. Multi-entity owners should label which doors belong where and bring prior K-1s. Partnerships and many multi-member LLCs often use Form 8825 rather than a single Schedule E.

Year-round tax planning vs once-a-year filing — which do HNW landlords need?

Once-a-year filing closes the return from a clean owner package. Year-round planning uses the same facts earlier for 1031 timing, cost segregation, estimated taxes, and entity hygiene. High-net-worth investors with active buy/sell calendars usually benefit from more than an April-only relationship.

Is this service for property management companies?

The primary audience is landlords and investors. PM-company full-books staffing is not the hub promise.
